Frequently Asked Questions: What to Know
How far in advance should I book my event?
While we can accommodate bookings up to two years in advance, we recommend reserving your date 6 – 12 months ahead for larger events. If your event is sooner, we’re always happy to check availability! We must receive your signed contract and initial deposit at least two weeks before your event or photography session.
Can I schedule a site visit before booking?
Yes! We encourage prospective clients to tour the Garden and explore available event spaces before making a reservation. Site visits are available on weekdays by appointment and provide an opportunity to discuss your vision, event needs, and available dates with a Garden Event Coordinator. Can you provide an estimate for my event?
Yes! After your site visit, we’ll create a customized event proposal with an itemized breakdown of the costs discussed, including rental fees, bar services, labor, and more. Our Event Guide also provides detailed pricing information to help you plan your budget.
How do I book my event?
After your site visit, we’ll send you a customized event proposal. Once you approve the proposal, we’ll provide your official contract and collect the initial deposit to secure your date. From there, we’ll guide you through the planning process and schedule your Final Walk-Through Meeting approximately 30 days before your event.
What is a Final Walk-Through Meeting?
Your Final Walk-Through Meeting is held approximately 30 days before your event and is designed to finalize all event details. You, your caterer, and your coordinator are required to attend, along with any other vendors participating on event day.
During this meeting, we’ll review:
- Vendor contact information
- Load-in and load-out schedules
- Event setup and room layouts
- Timeline and guest arrival details
- Beverage service
- Equipment needs
- Photography plans
- Any remaining logistics or special requests
What is included in my rental fee?
- A dedicated Garden Event Coordinator
- A Garden Day-of Event Lead who serves as your on-site liaison during the event
- Garden admission for you and your guests, during your contracted event time
- Parking
- Garden-provided table and chair setup (for packages that include tables and chairs)
Can I bring in my own caterer?
The Garden partners with a carefully vetted list of exceptional catering companies that have successfully executed events of all sizes and styles. Your Garden Event Coordinator will be happy to help you select the caterer that best fits your event and vision. See vendor list here.
Please note that the Garden maintains a strict no-outside-food-or-beverage policy. All food and beverages—including gifts, snacks, edible favors, and food-related activities—must be provided through your caterer. See full Garden policies here.
Can I bring in alcohol?
The Garden maintains a strict no outside food or beverage policy, including no outside alcohol. Your Garden Event Coordinator will work with you to arrange beverage service for your event, including bar staff, beer, wine, cocktails, and any special orders that may be requested. We’re happy to help you create a beverage experience that fits your event and guest preferences.
Are there any items or decorations I cannot bring to my event?
To help protect the Garden and its environment, the following items are prohibited:
- Outside food, beverages, or alcohol
- Smoking, vaping, or tobacco products
- Firearms or weapons
- Drones
- Rice, confetti, loose flower petals, fireworks, or sparklers
Open flames are permitted only when enclosed in an appropriate container that extends at least 2” above the flame.
Additionally:
- Decorations may not be staked into the ground.
- Decorations may not be attached to Garden structures or plants.
- Items may not be placed or stored in Garden beds.
- Guests + Vendors must remain on designated Garden paths.
If you have questions about specific décor items, your Garden Event Coordinator will be happy to review guidelines with you during the planning process.
Are there any time or noise restrictions?
Your Garden Event Coordinator will discuss your preferred event timeline during your site visit to ensure your proposal reflects your needs. Your proposal and contract will include all event hours, including load-in and load-out times. Private events may be contracted through 11:59 PM.
During public Garden hours, we ask that event noise levels remain appropriate and contained within your reserved event space to ensure an enjoyable experience for all Garden guests.
What happens if it rains?
Your Garden Event Coordinator will discuss your event’s rain plan during both your event proposal and final walk-through meeting. We’ll work with you to ensure a smooth experience and review any backup options available for your event spaces.
Can we take photos at the Garden?
You are welcome to hire the photographer/videographer of your choosing for your event. If you are interested in a Photography-only session at the Garden, Photography Sessions may be booked based on availability.
Is a wedding planner or day-of coordinator required?
Yes. For wedding ceremonies and receptions, the Garden requires a dedicated planner, coordinator, or designated representative who can serve as the primary point of contact on event day. This allows your Garden Event Lead to communicate efficiently and helps ensure everything runs smoothly throughout your celebration.
